Question 1

What is LedgerSwiftly?

LedgerSwiftly is an all-in-one accounting app for construction and trades businesses. Track receipts and expenses per job, scan receipts with AI, manage properties and clients, create professional invoices and quotes, compare supplier prices, and export tax-ready reports.

Question 2

What is a property in LedgerSwiftly?

Accepted Answer

A property represents a job or site: a renovation, a build, a commercial fit-out. Every receipt, invoice and quote you create can be tied to a property so you always know which job cost what.

Question 3

How does AI receipt scanning work?

Accepted Answer

Silver and Gold plan users can capture a photo of a receipt and select the AI scan button. The app reads the vendor, amount, tax and date automatically. Silver includes 100 AI scans per month and Gold includes 250. Always check the values before saving, as AI can make mistakes.

Question 4

How do I create an invoice?

Accepted Answer

Go to Invoices, tap the add button. Select a client and optionally a property, set issue and due dates, add line items with quantities and prices, apply a tax rate, and add a disclaimer. The subtotal, tax and total calculate automatically.

Question 5

How do I send an invoice to my client?

Accepted Answer

Silver and Gold plan users can send invoices. Select Send to client in the invoice form and LedgerSwiftly emails the client a professional invoice email with a secure link to view and download the invoice online. The invoice is marked as sent, the invoice number is assigned and locked, and the due date and overdue tracking start automatically.

Question 6

How do I create a quote?

Accepted Answer

Go to Quotes, tap the add button. Select a client and optionally a property, set the issue date and valid-until date, add line items, apply tax, and add a disclaimer. Save as draft or send directly.

Question 7

What is a workspace?

Accepted Answer

A workspace is your company's isolated data environment. All your properties, expenses, invoices and quotes live in your workspace. Team members you add share the same workspace.

Question 8

What plans are available?

Accepted Answer

Bronze (free) includes 1 property, up to 50 receipts per month, manual entry, and basic reports. Silver includes 15 properties, unlimited receipts, AI scanning, analytics, cash flow forecast, tax summaries, invoices and quotes with online sending, and team calendar and tasks. Gold includes everything in Silver plus unlimited properties, price comparison, profit and loss, brand colours, smart views, reconciliation report, automatic overdue reminders, bulk upload, and document attachments.

Question 9

Is there an iOS or Android app?

Accepted Answer

LedgerSwiftly is not on the App Store or Google Play, but it runs perfectly in your phone's browser and behaves just like a native app. You can also add it to your home screen so it opens full-screen with its own icon, with no app store needed.

Question 10

What is the Cash Flow Forecast?

Accepted Answer

A Silver and Gold feature that projects your expected income from unpaid invoices over a 30, 60, or 90 day horizon. It shows how much you are owed, when it is due, and which invoices are overdue, so you can see gaps before they bite.

Question 11

What is Price Comparison?

Accepted Answer

A Gold plan feature. When you add expenses, LedgerSwiftly remembers the unit prices you have paid for items across suppliers. The Price Comparison page shows you which supplier offers the best price for each item.

Question 12

What is the Audit Trail?

Accepted Answer

The Audit Trail records every create, edit and delete across your expenses, properties, clients, suppliers, invoices, quotes, team tasks and calendar events, showing who did what and when. Every change your team makes is logged automatically.

Question 13

What are Smart Views?

Accepted Answer

Smart Views are saved filters you can open with one tap. Pick a module such as expenses, invoices, quotes, suppliers, clients or properties, set your filters, sorting and grouping, and save it. The next time you need that list, just open the Smart View and the current results are there.

Question 14
